Description, Responsibilities, and Qualifications

Description:

The CSP Graduate Assistant holds career advising and administration responsibilities for The Career Center (TCC). In addition to co-supervision and administrative duties related to training, mentoring, and evaluating a team of 15 undergraduate Career Services Paraprofessionals in conjunction with the Assistant Director for Career Education. The CSP team provides drop-in and virtual services, including resume, cover letter, and, presents career development workshops, and represents The Career Center (TCC) during campus events. 

CSP Specific Duties & Responsibilities:

Daily/Weekly Time Commitments

  • Co-supervise, support, and mentor a team of 15 CSPs
  • Hold a minimum of 5 office hours each week during CSP drop-in hours (Monday - Friday, 2-4:30 pm)
  • Monitor and engage in communication Microsoft Teams CSP Chat, including replying to messages, posting announcements, and shift changes
  • Manage and monitor online platforms (Moodle and ScheduleQ) used for virtual document reviews and outreach events
    • Once a week check if document submission data is up to date and identify missing information 
    • Input workshop requests
  • Email campus stakeholders about outreach requests for tabling, workshop, and other related events 
  • Participate in weekly 1-on-1s with the Assistant Director for Career Education and Outreach
  • Lead & prepare agendas for Monday bi-weekly CSP meeting

Monthly Time Commitments

  • Lead & prepare agendas for bi-weekly CSP meetings
  • Meet with individual CSPs 1-on-1 at least twice a semester
  • Evaluate the performances of the CSPs and provide feedback about 

Beginning and End of Each Semester Time Commitments

  • Co-manage CSP recruitment and training (new, returner, and in-service) with the Assistant Director for Career Education (beginning of each semester)
  • Review and update career readiness print materials and CSP presentations
  • Review and update CSP trainings 
  • Scheduling CSPs for workshops and individual shifts 
  • Generate evaluation feedback reports regarding the CSPs

As Needed Time Commitments

  • Print and distribute handouts and documents for the CSP drop-in area 
  • Administer and review performance evaluations of individual CSPs 
  • Conduct 5-8 online reviews during busy seasons at the beginning of the semester 

General Career Center Duties & Responsibilities:

  • Conduct a minimum of 4-5 Career Drop-in Advising (CDA) hours
  • Attend required trainings for CDA and preparation for role (see timeline) 
  • Assist staff with The Career Center events: Career and Internship Fairs, career readiness workshops, campus events
  • Present at least one workshop request to an external campus stakeholder
  • Assist with at least one tabling or career fair related event 
  • Complete other duties relevant to The Career Center operations
    • Including but not limited to mandated reporter training, ethics, and FERPA 

Qualifications:

  • Enrolled as a graduate student with career and academic goals that align with the field of higher education, student affairs, student services, or human resources in an eligible academic graduate program (https://grad.illinois.edu/files/pdfs/handbook.pdf)
  • Previous supervision or leadership experience

  • Effectively manage multiple competing priorities (self-starter, motivated, strong organization and time management, and commitment to student support services) 
  • Ability to maintain a flexible schedule, which may include occasional evenings and weekends
  • Plan and facilitate meetings and projects
  • Comfortable researching, implementing, and utilizing technology 
  • Excellent interpersonal communication and active listening skills
  • Ability to work well collaboratively and independently 
  • Experience working with diverse groups and leading/supervising student groups
  • Experience developing and presenting workshops or trainings to small and large groups

Compensation

Commensurate with current the University of Illinois policies on graduate student stipends and waivers.

This position may be funded through the federal work-study program, a type of financial aid. If eligible, the successful candidate is expected to complete a 2025-2026 FAFSA application, which is found at www.fafsa.ed.gov, to determine eligibility for the federal work-study program.
